How meeting cost works
Meeting cost converts a meeting's attendee count, average pay rate and duration into a real dollar figure — making the true cost of recurring meetings visible.
Enter the number of attendees, their average hourly rate, and the meeting duration in minutes. The calculator returns the meeting's cost, plus what that cost would add up to over a year if the meeting repeats weekly.
This uses a simple average hourly rate across attendees — for a more precise figure with very different pay levels in the room, calculate cost per role and sum them.
The formula
Cost = Attendees × Average hourly rate × (Duration in minutes ÷ 60)
Multiply the number of attendees by their average hourly rate, then by the meeting duration expressed as a fraction of an hour.
Worked example
8 attendees, $75/hour average rate, 60-minute meeting
8 × $75 × 1 hour = $600 for the meeting. If it repeats weekly, that's $31,200 a year.
Frequently asked questions
What hourly rate should I use?
A blended average across attendees is simplest — total attendee compensation divided by attendee count, converted to an hourly figure, is a reasonable approximation.
Does this include preparation time?
No — this calculates only the meeting's own duration. For a fuller picture, separately account for prep and follow-up time attendees spend around the meeting.
Why show the annual cost?
Recurring meetings are easy to underestimate — seeing a weekly meeting's annualized cost often reframes whether its frequency or attendee list needs a second look.
