Staffing Ratio Calculator

Find how many units each staff member is responsible for.

Across 20 staff members

1 : 25

500 ÷ 20 = 1 : 25

How staffing ratio works

A staffing ratio expresses workload as "1 staff member per N units" — patients per nurse, students per teacher, accounts per representative — the standard way service-delivery capacity is reported and compared against a target or regulatory benchmark.

Enter your staff count and the number of units (clients, cases, accounts) served. The calculator returns the ratio as units served per staff member.

Lower is generally more resource-intensive (fewer units per staff member) and higher stretches staff further — the right target depends entirely on your industry, role and quality requirements.

The formula

Units per staff = Units served ÷ Staff count

Divide the total number of units served by the number of staff members. The result is read as "1 staff member per [result] units."

Worked example

20 staff members serving 500 units

500 ÷ 20 = 25 — a ratio of 1 staff member per 25 units.

Frequently asked questions

What's a good staffing ratio?

It depends entirely on the industry, role, and quality/safety requirements — healthcare, education and customer service each have very different accepted ranges and sometimes regulatory minimums.

Should I use headcount or FTE for staff count?

FTE (full-time equivalent) gives a more accurate ratio when your staff includes part-time workers — use the FTE Calculator first if your team is a headcount mix.

Does a lower ratio always mean better service?

Generally more staff per unit allows more attention per unit, but it isn't guaranteed — process quality, training and tools also drive outcomes, not staffing ratio alone.
