How time to fill works

Time to fill measures how long it takes to fill an open requisition, from the day it opens to the day an offer is accepted — the standard recruiting-speed metric, distinct from cost-focused metrics like Cost Per Hire.

Enter the requisition's open date and the date it was filled. The calculator returns the number of calendar days between them.

Track time to fill by role type or department — a single blended average across very different roles (entry-level vs. executive search, for example) can obscure meaningful differences in what's driving recruiting speed.

The formula

Time to fill = Filled date − Requisition open date

Count the calendar days from when the requisition opened to when it was filled.

Worked example

Requisition opened January 1, filled January 31

January 31 − January 1 = 30 days to fill.

Frequently asked questions

What counts as "filled"?

Most commonly, the date an offer is accepted — though some organizations use the candidate's start date instead. Use whichever definition your organization tracks consistently.

How is this different from Cost Per Hire?

Time to fill measures recruiting speed. Cost Per Hire (a separate calculator) measures recruiting spend. Track both — a fast, expensive process and a slow, cheap one both have tradeoffs worth understanding.

What's a typical time to fill?

It varies enormously by role, seniority and industry — compare against your own historical benchmarks by role type rather than a single external number.
