The formula
Absenteeism rate = Absent person-days ÷ Scheduled person-days × 100
Divide the total absent person-days by the total scheduled person-days for the same period, then multiply by 100.
Worked example
15 absent person-days out of 300 scheduled person-days
15 ÷ 300 × 100 = 5% absenteeism rate.
Frequently asked questions
Should planned leave (vacation, holidays) be included?
Most absenteeism definitions count only unplanned absence — sick days, no-shows — and exclude scheduled vacation and holidays. Be explicit about which definition you're using.
What's a typical absenteeism rate?
It varies substantially by industry; general benchmarks commonly cited fall in the 2–5% range, but always compare to your own historical trend rather than a single external number.
How is a person-day counted for part-time staff?
Count a scheduled day as a person-day regardless of shift length, unless your organization has a more granular hours-based definition — apply whichever definition you choose consistently.
