How schedule adherence works

Schedule adherence measures how closely staff followed their assigned schedule — for example, how much of their scheduled "available" time an agent actually spent available, as opposed to on break, in a meeting, or otherwise unavailable.

Enter the scheduled minutes for the status you're measuring and the actual minutes spent in that status. The calculator returns the adherence percentage.

Unlike utilization, adherence is not capped at 100% — an agent who stays in the correct status longer than scheduled (for example, finishing a call that ran past their shift) can show adherence above 100%, which is a valid, real result.

The formula

Adherence = Actual time in status ÷ Scheduled time in status × 100

Divide the actual minutes spent in the scheduled status by the scheduled minutes for that status, then multiply by 100.

Worked example

480 scheduled minutes, 470 actual minutes

470 ÷ 480 × 100 ≈ 97.9% adherence.

Frequently asked questions

Why isn't this capped at 100%?

Staying in the correct scheduled status longer than planned — for example, finishing a call that runs past shift end — is a real, valid outcome, not a data error, so the calculator reports it rather than clamping it away.

How is adherence different from schedule conformance?

Adherence measures how much time was spent in the right status. Conformance (a related but distinct metric) measures whether staff were in the right status at the right moment in time — this calculator covers adherence.

What's a typical adherence target?

Many contact centers target 85–95%, but the right target depends on your operation's tolerance for schedule deviation and how tightly staffing is optimized to demand.
