How backlog clearance time works

Backlog clearance time estimates how many days it will take to clear a current backlog, given how fast you're completing work and how fast new work is arriving — the net rate at which the backlog actually shrinks.

Enter the current backlog size, your completion rate per day, and the rate new items arrive per day. The calculator returns the net clearance rate and the estimated days to clear.

If new arrivals equal or exceed your completion rate, the backlog will not shrink under current throughput — the calculator flags this rather than returning a misleading number.

The formula

Days to clear = Backlog size ÷ (Completion rate − Arrival rate)

Subtract the daily arrival rate from the daily completion rate to get the net clearance rate, then divide the backlog size by that net rate.

Worked example

500-item backlog, completing 60/day, 40 new items arriving/day

Net clearance rate = 60 − 40 = 20/day. Days to clear = 500 ÷ 20 = 25 days.

Frequently asked questions

What if new arrivals are faster than completion?

The backlog is growing, not shrinking, so there is no finite clearance time under current throughput. Increase completion capacity or reduce inflow before this estimate becomes meaningful.

Does this assume a constant rate?

Yes — it's a straight-line projection based on the rates you enter. Real completion and arrival rates fluctuate, so treat the result as a planning estimate and revisit it as conditions change.

How can I improve the estimate?

Use rates averaged over a representative recent period (e.g. the last 2–4 weeks) rather than a single unusually fast or slow day.
