How capacity works
Capacity estimates how many tasks a team can complete with the hours it has available. It is a simple planning number: the total available labor hours divided by the time each task takes.
Start with how many workers you have and how many hours each can contribute. Multiply to get the total available hours, then divide by the hours required per task to get the number of tasks the team could complete.
This is theoretical capacity. It assumes every available hour is fully productive and every task takes exactly the same time. It does not automatically account for breaks, absence, meetings, training, rework or utilization.
The formula
Capacity = Workers × Available hours per worker ÷ Hours per task
Multiply the number of workers by the available hours per worker to get total labor hours, then divide by the hours required per task. The result is an estimate of how many tasks the team could complete.
Worked example
10 workers, 8 hours each, 0.5 hours per task
10 × 8 ÷ 0.5 = 160. So the team could complete about 160 tasks.
Frequently asked questions
Why is this called theoretical capacity?
It assumes full productivity and uniform tasks. Real teams lose time to breaks, meetings, absence and rework, so actual output is usually lower. Use it as a ceiling, not a forecast.
Should I round the result?
Capacity is an estimate, so a fractional result such as 133.3 tasks is fine for planning. If you need a count of whole tasks, round down — you cannot complete a fraction of a task.
What if tasks take different amounts of time?
Use the average time per task. If task times vary a lot, plan with a range or build in a buffer rather than relying on a single number.
